For coaches
How payouts work
How your earnings build up, how a payout is calculated, what the three numbers on your Earnings screen mean and how you are paid.
The short version
- Athletes pay Calibr HQ. Calibr HQ is the seller of record and handles GST on athlete subscriptions.
- You earn a share of each athlete’s subscription. It builds up every day the subscription is active.
- Calibr HQ pays your earnings out to you. Today that is done by hand, as a transfer outside the app. Automated Stripe Connect payouts are not live.
What Accrued, In payout and Reversed mean
Your Earnings screen splits your earnings three ways.
- Accrued
- Earnings that have built up and are not yet in a payout. Accrued and In payout together make up your Earned to date.
- In payout
- Earnings Calibr HQ has put into a payout. They stay counted here after the transfer is sent. The app does not show whether a particular payout has been sent yet, so ask support if you are waiting on one.
- Reversed
- Earnings taken back because an athlete’s payment was refunded or lost to a chargeback. Reversed earnings do not count towards your Earned to date. They stay visible in your ledger.
How earnings build up
Earnings build up one day at a time while an athlete’s subscription is active.
- Nothing builds up during an athlete’s free trial, while their payment is overdue, while their subscription is frozen, after you end their access to your program or after their subscription has ended.
- Each day’s amount is the difference between two running totals across the period the athlete’s payment covers, a month on a monthly plan and a year on an annual one, so the period adds up exactly. Single days can differ by a cent.
- The Coach Terms say your current rate is shown in your coach dashboard and that all rates are published on this page. This page explains how your share and those rates are worked out and sets out the rates that apply today.
- Your earnings are shown in Australian dollars (AUD), the only currency supported today.
How your payout is calculated
Every amount is in whole cents, and each total is rounded once, never day by day. This is the calculation in full, with a worked example.
Calibr HQ’s service fee
Calibr HQ charges a service fee on each membership. GST and card processing (and any app store fee) come off first. The service fee is then a percentage of what is left, set by how many athletes you have actively subscribed. You receive the rest.
| Tier | Active athletes | Service fee |
|---|---|---|
| Starter | Up to 5 | 15% |
| Launch | 6 to 50 | 12.5% |
| Growth | 51 to 500 | 10% |
| Scale | 501 to 2,000 | 8% |
| Elite | More than 2,000 | 8% |
Your tier follows how many athletes you have actively subscribed: athletes who are paying, so not on a free trial, past due or frozen. It is set when each athlete’s billing period starts and stays the same for that period, and you do not buy a plan to be on a tier. The Elite tier is decided as 6% to 8%, and the calculation uses 8% until its terms are agreed.
How it works out for one membership
- Start with the athlete’s membership price, GST included.
- Take out GST. It is 1/11 of the price, rounded to the cent, and Calibr HQ remits it.
- Take out card processing. On the web the calculation uses $0.30 plus 1.75% of the price. A charge made through an app store would use the app store fee here instead, and app store purchases are not live yet.
- Take out Calibr HQ’s service fee, the percentage for your tier, from what is left.
- What remains is what you receive for that athlete for the month.
What you receive for a membership then accrues across the period it covers, a month on a monthly plan and a year on an annual one, counted in Sydney calendar days from the day the paid billing starts. The running total on each day is the amount you receive × the day number ÷ the days in the period, rounded once, so the days add up to exactly that amount. The example below is a monthly membership.
| Step | Amount |
|---|---|
| Membership price, GST included | $29.99 |
| GST (1/11, rounded) | −$2.73 |
| Card processing | −$0.82 |
| Left after GST and card processing | $26.44 |
| Calibr HQ’s service fee (15%) | −$3.97 |
| You receive for the month | $22.47 |
| After day | Accrued so far |
|---|---|
| 1 | $0.75 |
| 7 | $5.24 |
| 15 | $11.24 |
| 30 | $22.47 |
Day 1 accrues $0.75. Adding that same amount for all 30 days would give $22.50, which is $0.03 more than you receive. Working out the running total once keeps the period exact.
Refunds and chargebacks
If an athlete’s payment is refunded or lost to a chargeback, the earnings accrued for that payment’s period that are still Accrued move to Reversed, as set out under Refunds and chargebacks below. The Coach Terms (section 4) cover payouts and reversals.
When you are paid
The Coach Terms say earnings are paid out monthly. Today that is a manual process.
- Calibr HQ reviews coach earnings by hand.
- Your Accrued earnings are put into a payout and show as In payout.
- Calibr HQ sends you the transfer outside the app.
The app does not show a payout date or schedule yet, because Stripe Connect automated payouts are not live. To find out when a payout is due, email support@calibrhq.com.
Refunds and chargebacks
- When an athlete’s payment is refunded or lost to a chargeback, the earnings from that payment’s period that are still Accrued move to Reversed.
- The Coach Terms say refunds, chargebacks and cancelled periods reverse the related earnings. Repeated chargebacks tied to misleading program claims may lead to a review.
Forfeited earnings
- If you archive a program and an athlete on it chooses to cancel and take a refund, you forfeit that month’s earnings from that athlete. Calibr HQ keeps them to cover the refund. Your earnings from every other athlete are not affected.
- Forfeited earnings leave your Earned to date. They do not appear under Reversed. Earnings that have already been sent to you in a payout are not taken back.
Who earns, and what you need
- You earn from athletes who subscribe to your programs through Calibr HQ.
- You accept the Coach Terms when you onboard. You cannot publish a program without them.
- To be paid, give Calibr HQ accurate payout and tax details when it asks for them.
- You look after your own tax, including GST on your payouts if you are required to register.
Where to see your earnings and get help
- Calibr HQ app: the Earnings screen shows Earned to date, Accrued, In payout and Reversed, a day-by-day ledger and a CSV you can share.
- Web: sign in to your coach workspace for your Accrued earnings and the day-by-day ledger, with a CSV download.
- Support: email support@calibrhq.com. Say which athlete or date you are asking about, and never send passwords or payment card details.
